With ezConnect's Broadcast Messaging feature, you can quickly send important updates and reminders to the relevant groups of guests via SMS.
With Broadcast Messaging, you can choose from 3 different broadcast types depending on the situation:
Unconfirmed Appointments: Ensure guests confirm their appointments to reduce last-minute cancellations and empty slots.
Change in Center Hours: Quickly notify all users when your center needs to close for any reason, or if there's a change in center hours.
Provider Unavailability: Keep your guests informed when a service provider is unwell so they can reschedule accordingly.
To create and send a broadcast message:
1. Enable View Broadcasts and Send Broadcast under Role Management.
2. Select the Broadcast speaker icon on the menu bar to open Broadcast settings.
3. Click New Broadcast to create a new broadcast message.
4. Select the type of broadcast message you want to send from the dropdown menu.
5. Select the date affected from the calendar and click OK.
NOTE:
For Change in Center Hours and Provider Unavailability, you can select same day, or up to 3 months in advance.
For Unconfirmed Appointments, you can only select within 2 days of the current date.
5. Type the message you want to send in the message box and click Next.
NOTE:
When selecting Provider Unavailability, you will need to select a therapist from the dropdown menu before proceeding to the next step.
6. Preview your message and ensure the details are correct.
The guests with appointments on the affected date will be automatically listed at this stage.
You will see the total number of guests your broadcast will be sent to, and a list of the guests with their names, phone numbers, and if they have opted out of receiving text messages.
When ready, click ‘Send message’
NOTE:
Broadcast messages will appear in guest’s conversations so you can track replies.
Checking the delivery status of Broadcast messages
You can check the status of your sent broadcast messages by clicking the corresponding icon under the Status column.
This will open a dashboard that displays the status of any outgoing broadcast messages, including a reason for any 'Failed' messages.
NOTE: If the status is 'Failed', the broadcast message has not reached its intended recipient, and you will need to manually contact the guest to inform them.
If 'Show Guest Info' is disabled under Role Management, guest phone numbers will appeared masked in the dashboard.
How to delete ezconnect messages?
There is no option to delete messages / conversations on ezConnect.
